Office Manager

You will be working alongside the executive team leading the support hub and collaborating with the whole ICE team.

The role details include setting up the best-in-class office experiences for our hybrid working team, improving our systems and process, and helping the team be both effective and efficient.

You will lead our support Hub which offers administrative and practical support for our four offices.

You will provide executive support for our senior team, both directly and via the administration team.

You will have a mastery of Microsoft 365, Word PowerPoint, and Excel.

This role is an accountable role, which means the book stops with you for the functioning of the Wirral and Cumbria Office driven by your passion for supporting our team and clients when they are face to face, including our environment, resources, and team support.

You will have the drive, skill, and experience to develop a structure to ensure robust and collaborative team behaviours, leading internal engagement, and communication, helping us have great meetings, good environment and great food and hydration.

What you’ll do?

  • Lead our greeting visitors, offering them refreshments, and directing them to the right person.
  • Answering queries, answering calls, and taking messages.
  • Keeping the office tip top, tidy & welcoming at all times.
  • You will coordinate the opening and closing of the office and accessible for deliveries to be accepted.
  • You will manage the team for supply & sending out nicotine replacement therapy out to clients on a daily basis.
  • You will manage the supply of materials and stationery in the office, including distribution of goods to team in other offices.
  • Create, maintain, and update detailed contacts that will drive expert schedule, resource, and client management for the Exec team.
  • Providing desk -based administrative support to client projects. Including proficient and detailed use of 365 applications.
  • Facilitate all travel arrangements for the Executive, as necessary.
  • Using your planning & time management skills, you will with a support team manage the diary for the CEO & schedule meetings / appointments / calls as required/ make necessary travel arrangements.

What you’ll bring

  • Good knowledge of 365 software and various desktop software packages like acrobat
  • Advanced capabilities in Microsoft products including Teams, PowerPoint, Word, and Excel.
  • An ability to pick things up quickly.
  • A - Level or equivalent in for example (Administration, Business, Management) (required)

  • Exceptional communication skills – verbal and written.
  • Ability to work under pressure and to tight deadlines with good organisational and time management skills.
  • Able to effectively manage competing demands, deadlines, and resources to deliver to agreed outcomes and so the team is aware of the situation.
  • Attention to detail, be flexible and adept at juggling a range of different tasks and to work extra hours to meet deadlines.
  • Possess discretion and an understanding of confidentiality issues.
