We’re seeking a proactive, passionate, driven and committed Assistant PA to support the CEO and EA to deliver exciting and innovative new business. Bringing your business professionalism, you will be passionate about how you support with the business development strategy at a day to day influencer level, managing all aspect of the CEO’s social media communications such as LinkedIn


This role, whilst based in our HQ, will involve some UK-Wide travel, which will be covered by the business. 


This is a new business support role in the ICE Creates team, working with the CEO to ensure that all aspects of new business development management run smoothly, effectively and efficiently. You will act as a talented influencer and build up your own network of contacts to support the CEO.


You will be a highly motivated professional, with a confident telephone manner, excellent organisational skills to coordinate all bookings into the CEO’s diary, with the ability to multitask and prioritise not only your workload, but that of the CEO.  


You must have robust influencing skills as you will work in partnership with the CEO representing ICE as point of contact for new business development by acting as an influencer towards external decision maker’s support teams. 


You will be comfortable working independently, and as part of a team and be dedicated to engaged client relationship and be an effective ‘right hand’ to the CEO & EA.

An eye for detail is essential for the role as well as a good understanding of business development, networking, managing stakeholder relationships and time management. 


Key elements of the day to day role:

=        The APA plays an integral role in the ICE team. Supporting the CEO you will be working with a wide range of clients across the public and private sector.

=        You will need to develop a network for the CEO, ensuring robust client communication with communications before meetings internally & externally and have all the information to hand, all of the time. 

=        Client Contact & Client Management -  you will ensure flawless communication within the team, the organisation and to clients on behalf of the CEO

=        You will navigate an array of client relationships, appointment bookings, calls and emails.

=        Your skills will mean that you can take ownership, control & responsibility on behalf of the CEO to manage the diary to schedule meetings / appointments / calls for prospects

=        Using your planning and time management skills, you will work with the EA to manage the diary for the CEO

=        You will shadow, support and stand in for the CEO by attending conferences, meetings, and industry events

=        Develop initial contacts for new business opportunities on behalf of the CEO by effective use of telephone / email / social media by acting as an influencer towards external decision maker’s support teams.


The person:

Create, maintain and update detailed contacts that will drive expert schedule, resource and client management for the CEO

Build up a network of internal senior contacts to access their network of contacts to effectively develop further business opportunities

Support the CEO with new and existing business development

Using effective client management skills, ensure that there are strong and effective relationships between clients and ICE

Facilitate all Travel arrangements for the CEO and Board as necessary



Essential existing qualifications/ skills /experience:

GCSE or equivalent

Apprenticeship in

=        Administration

=        Business

=        Management


Ability to research, digest, analyse and present material clearly and concisely

Track record of delivering results in networking, building initial warm prospects and closing appointments

Strong communication skills – verbal and written. Must have a very confident telephone manner – a high standard of communication is required

Ability to work under pressure and to tight deadlines with good organisational and time management skills

Able to effectively manage competing demands, deadlines and resources to deliver to agreed outcomes and so the team is aware of the situation.

Ability to manage, lead and motivate self

Attention to detail, be flexible and adept at juggling a range of different tasks and to work extra hours to meet deadlines

Possess discretion and an understanding of confidentiality issues.
